Adding & Editing Listings

(Rules that Govern)

This document provides rules, guidelines, and cautions pertaining to adding and editing listings within our MLS system.  The rules that determine the system's behavior are both rigid and technical in nature.  Therefore, the specifics of each rule are provided in a well-structured format.

Property Statuses  

  • NEW  

    • Definition 

      • The status of a new listing that was added to the MLS database through the following means:  Listing Maintenance / Add / Listing.  The Market Code is On Market.

    • Period before changing to Active/Unchanged - 3 days

    • Changed to NEW from what status - not applicable

    • Caution  

      • Once On-Market, a listing with a status of NEW is vulnerable to unintentional status changes.  If a field is entered in error, but discovered after the new listing is saved, a future correction may cause the status to change from NEW to a less significant status.  Try to correct the error using only a method that does not trigger a different status, such as Change Listing or request assistance from the MLS office.

  • PEND  

    • Definition 

      • The status of a listing that was edited in the MLS database through normal means:  Listing Maintenance / Change / Listing / Pending.  The Market Code is or becomes On Market.

    • Period before changing to Active/Unchanged - not applicable

    • Changed to PEND from what status 

      • ACTV, RMKS, $CHG, NEW, BOMK, CNTG, RACT, XPRD

    • Caution  

      • If any listing with a status of PEND remains in this status for 999 days, it is automatically moved to an Off-Market status.  The only time this is likely to occur is when a clerical error has left the On-Market status of PEND on a listing that, in reality, has already been sold, has expired, or was withdrawn from the market.







  • SOLD  

    • Definition 

      • The status of a listing that was edited in the MLS database through normal means:  Listing Maintenance / Change / Listing / Sold.  The Market Code is or becomes Off Market.

    • Period before changing to Active/Unchanged - not applicable

    • Changed to SOLD from what status 

      • ACTV, RMKS, $CHG, NEW, BOMK, CNTG, PEND, RACT, XPRD

    • Caution  

      • Once Off-Market, a listing with a status of SOLD cannot be changed.  The most likely legitimate need for changing data in a listing is to correct inaccurate data that was noticed after the status was changed to SOLD.  The only method for correcting errors in listings with a SOLD status is to request assistance from the MLS office.

  • $CHG  

    • Definition 

      • The status of a listing that was edited in the MLS database through normal means:  Listing Maintenance / Change / Listing / Price Change.  The Market Code is On Market.

    • Period before changing to Active/Unchanged - 3 days

    • Changed to $CHG from what status 

      • ACTV, RMKS, $CHG, NEW, RACT

  • RMKS  

    • Definition 

      • The status of a listing that was edited in the MLS database through normal means:  Listing Maintenance / Change / Listing / Remarks Change.  The Market Code is On Market.

    • Period before changing to Active/Unchanged - 3 days

    • Changed to RMKS from what status 

      • ACTV, RMKS, NEW, RACT

    • Caution  

      • A listing with a status of NEW is vulnerable to unintentional status changes.  You should avoid changing remarks on a new listing using the normal means (see definition of NEW).  If you do so, the status of NEW will immediately change to a status of RMKS, and cannot be reversed.  Try to make the change using a method that does not trigger a different status, such as Change Listing or request assistance from the MLS office.





  • BOMK  

    • Definition 

      • The status of a listing that was edited in the MLS database through normal means:  Listing Maintenance / Change / Listing / Back on Market.  The Market Code is or becomes On Market.

    • Period before changing to Active/Unchanged - 3 days

    • Changed to BOMK from what status 

      • CNTG, PEND, WITH

  • CNTG  

    • Definition 

      • The status of a listing that was edited in the MLS database through normal means:  Listing Maintenance / Change / Listing / Contingent.  The Market Code is or becomes On Market.

    • Period before changing to Active/Unchanged - not applicable

    • Changed to CNTG from what status 

      • ACTV, RMKS, $CHG, NEW, BOMK, PEND, RACT, XPRD

    • Caution  

      • If any listing with a status of CNTG remains in this status for 999 days, it is automatically moved to an Off-Market status.  The only time this is likely to occur is when a clerical error has left the On-Market status of CNTG on a listing that, in reality, has already been sold, has expired, or was withdrawn from the market.

  • WITH  

    • Definition 

      • The status of a listing that was edited in the MLS database through normal means:  Listing Maintenance / Change / Listing / Withdrawn.  The Market Code becomes Off Market.

    • Period before changing to Active/Unchanged - not applicable

    • Changed to WITH from what status 

      • ACTV, RMKS, $CHG, NEW, BOMK, PEND, CNTG

  • RACT  

    • Definition 

      • The status of a listing that was edited in the MLS database through normal means:  Listing Maintenance / Change / Listing / Reactivate.  The Market Code becomes On Market.

    • Period before changing to Active/Unchanged - 24 to 36 hours

    • Changed to RACT from what status 

      • XPRD

  • XPRD  

    • Definition 

      • The status of a listing that has expired and remains Off-Market:  Expiration Date is less than today's date.  This status change is an automatic process, requiring no editing by an MLS member.  The Market Code becomes Off Market.

    • Period before changing to Active/Unchanged - not applicable

    • Changed to XPRD from what status 

      • ACTV, RMKS, $CHG, NEW, BOMK, RACT

    • Caution  

      • If any listing achieves a status of XPRD through error (listing extension paperwork received late, etc.), do not attempt to change the expiration date by selecting Change Listing.  This choice can change an expiration date, but not change the status to an On-Market status.  You must choose Listing Maintenance / Change / Listing / Reactivate in order to change both the expiration date and the status.  In this case, the status will change from XPRD to RACT.  It will remain RACT until the next day's nightly process changes it to ACTV (Active/Unchanged).

  • ACTV  

    • Definition 

      • Active/Unchanged - The status of a listing, once the 3-day temporary status has expired.  The Active/Unchanged status indicates that the property is On-Market and has not had a status-triggering change in the past 3 days.  The Market Code is On Market.

    • Period before changing to Active/Unchanged - not applicable

    • Changed to ACTV from what status 

      • NEW, $CHG, RMKS, BOMK, RACT

    • Caution  

      • Because ACTV is (1) a status of its own, (2) is really named Active/Unchanged, (3) is an On-Market status, and (4) can be misinterpreted as "all listings on the market that are not currently under contract", a thorough understanding of this status is imperative.  If an MLS member searches for listings with an ACTV status only, the results will not include many listings that are currently available on the market.

      • NOTE:  In order to search for all On-Market listings that are not currently under contract, the following statuses must be included in the search criteria:  NEW, $CHG, RMKS, BOMK, ACTV.
